Acceptable Use Policy
Effective from 26 April 2026
If you have a login to one of our systems — FlowDocs, an internal tool, or an integration endpoint — these rules cover how you can use it. Standard 'don't break things, don't break in, don't share your password' hygiene. If something goes wrong on our side, tell us at hello@coppingrovedigital.com.au.
1. Application
This Acceptable Use Policy (AUP) applies to anyone with credentialed access to systems operated by Coppin Grove Digital Pty Ltd (ABN 47 693 481 579), including FlowDocs, internal portals, and integration endpoints (each a System). Where you have access to a System under a separate agreement, that agreement and this AUP apply together.
2. Account responsibility
2.1 Your credentials are confidential. You must not share, transfer, or allow others to use them.
2.2 You are responsible for activity carried out using your credentials.
2.3 You must notify us promptly at hello@coppingrovedigital.com.au if you suspect your credentials have been compromised.
3. Permitted use
You may use a System only for the purposes for which the System was provisioned, and only as set out in the relevant Statement of Work, product agreement, or written authorisation. Use beyond that scope requires our prior written consent.
4. Prohibited use
Without limiting clause 3, the following are prohibited:
- Reverse engineering, decompiling, or disassembling a System, except where permitted by laws that cannot be excluded.
- Bypassing or attempting to bypass access controls, rate limits, or quotas.
- Attempting to access data, accounts, tenants, or environments other than those you are authorised to access.
- Uploading, transmitting, or storing malware, illegal content, or content that infringes third-party rights.
- Using a System to send unsolicited commercial communications in breach of the Spam Act 2003 (Cth) or equivalent law.
- Penetration testing, vulnerability scanning, or other security probing without our prior written consent.
- Excessive automated requests beyond documented integration patterns.
- Use that interferes with the System's availability, performance, or other users' legitimate use.
- Use that violates applicable laws, including privacy, customs, sanctions, and anti-spam laws.
5. Data and content
5.1 You are responsible for the data and content you input, upload, or transmit through a System.
5.2 You warrant that you have the right to input, upload, or transmit such content, and that doing so does not breach any applicable law or third-party right.
5.3 We may reject, remove, quarantine, or refuse to process content that breaches this AUP.
6. Suspension and termination
6.1 We may suspend or revoke access to a System for breach of this AUP. We will provide notice where reasonably practicable.
6.2 For serious breaches — including unauthorised access attempts, security threats, or illegal content — we may suspend access immediately, without prior notice.
6.3 Suspension or revocation under this clause does not relieve you of your obligations under any related agreement.
7. Reporting
7.1 If you become aware of a security issue or suspected breach affecting a System, please report it promptly to hello@coppingrovedigital.com.au.
7.2 If you are reporting a security vulnerability in good faith, we ask that you give us a reasonable opportunity to investigate and remediate before public disclosure.
8. Updates
We may update this AUP from time to time. Updates take effect on publication. Continued use of a System after an update constitutes acceptance.
